Minutes of the March 21 Executive Council meeting were approved with changes. 2. CEP Survey about Convenership Amruth presented a revised version of a survey for current and former conveners. Suggestions for minor changes were submitted by the members. Action Item: Amruth will make the necessary changes and email members for final comments. Unit Reps are asked to distribute the survey at the April 4 Unit Council. 3. Convener's Job Description Judith Jeney, Employee Relations and Ethics Officer, provided the background on the development of a convener's job description. Major changes were made in terms of service, an annual term rather than multi-year terms, no supervisory duties or responsibilities because of union implications, and programs being housed in one school rather than split across schools. Provost Barnett commented on the number of convenerships and would like to revisit the ASEC report. At present, not all programs have full time faculty which is a resource issue. A suggestion from the members present included revisiting convener's release time also and a review of the adjunct rate. Currently, if a program does not have a convener the dean assumes responsibility. There was some general discussion regarding language used in the Detailed Position Description and the possible inclusion of phrasing along the lines of the Dean may reject an elected candidate provided there is explanation of reasons for not accepting the candidate which are made known to the convening group. Members present also raised concerns regarding the overall responsibility of convenerships, adequate compensation, and an equivalent level of work across schools. All parties were reminded that the convener job description was a working document and open to continued revision. Action Item: Provost Barnett will discuss the conveners job description with the deans and discuss reassigned time. Action Item: Executive Council will provide a final decision on the current job description by Wednesday, April 4, with the stipulation that this topic will be revisited at a later date. 4. Deans Evaluation Process Provost Barnett will bring up the topic of deans evaluations at tomorrow's deans meeting. The main question has been how to evaluate external or professional deans and on what timeline? Last year's evaluation process used email and print forms, distributed by Institutional Research, but there was poor response. There was also some question regarding who got copies of any comments, did they go to the individual or to the supervisor? The deans' problem with the evaluation instrument was it did not provide the feedback they needed. Action Item: A copy of the deans evaluation form will be distributed to the members for next week's meeting. 5. Student Room Selection Process Students are missing class to participate in housing selection for the upcoming academic year. Faculty are not supposed to make allowances for student missing class and the proxy system does not seem to alleviate student absences for housing selection. Suggestion: Executive Council strongly suggests that housing selection should not be done during class time and suggests that it be done either on a weekend or online. Action Item: Provost Barnett will request that Student Affairs take housing selection out of academic time. 6. Summer Programs Provost Barnett updated the Executive Council on summer programs and reminded members that the proposed special high school program was canceled. The Summer Task Force is supposed to report to both the Executive Council and the Provost by April 1. Registration for the regular summer semester begins sometime in April and there have been several advertisements posted in New Jersey papers and online through the colleges web page. 7. Academic schedule/calendar No meeting has been scheduled as yet but the calendar proposal is still with the Registrar. There was some discussion as to possibly surveying the students regarding the academic schedule that could be distributed in class. It was also proposed that the survey be online and supported by Student Affairs. Amruth provided copies of a proposed student survey regarding the semester schedule but the Provost suggested the group get feedback from Student Affairs. It was also discussed to bring in Babs Varano from Institutional Research to help create an online survey form. 8. Webpage issues Steve Schur has been requested to meet with a group of faculty to discuss web page functionality, not appearance issues. Volunteers may be from either the Executive Council or interested faculty. Members were asked to come up with a list of problematic issues or a list of items to find with the possibility conducting small focus groups. There is also confusion regarding the Intranet, guide.ramapo.edu, and the more public  HYPERLINK "http://www.ramapo.edu" www.ramapo.edu.
